PRO100_Assessment 2_Brief Page 1 of 6 ASSESSMENT 2 BRIEF Subject Code and Title PRO100 Information Systems Project Management Assessment Consultative Report Individual/Group Individual Length 1500 words Learning Outcomes The Subject Learning Outcomes demonstrated by successful completion of the task below include: a) Generate recommendations for information systems project planning b) Apply Project Management concepts to contemporary industry settings Submission Due by 11:55pm AEST Sunday end of Module 4.2 (Week 8) Weighting 40% Total Marks 100 marks Task Summary In this assessment, you will study a project case and develop a project schedule for that project. You are required to answer questions related to project risk management, communication management and the project duration reduction technique. Context: In response to the case study provided, write a consultative report focusing on the various processes in project knowledge areas, including the management of project schedule, cost, risk and resources. This assessment requires you to apply various tools and techniques you have learnt in management of project schedule, cost, risk and resources into a real-life case scenario. You will be presented with a case study, for which you assume the role of the project manager. You will be asked to go through a number of processes in the project knowledge areas above and generate outputs (some subsidiary plans of a project management plan) for those processes. This assessment provides you with an opportunity to view various processes in the planning process as a whole and develop an appreciation of schedule-cost-scope-risk trade-off. Instructions: Please read the attached Assessment 2_Case Study_ABC University. You are required to complete the following tasks during Professor Smith’s leave. Task 1 (15 marks) PRO100_Assessment 2_Brief Page 2 of 6  Create a new ProjectLibre file, name it “Task 1”;  Set the start date of the project; (1 mark)  Enter an appropriate title for this project; (1 mark)  Set all tasks to be auto-scheduled; (1 mark)  Enter the public holidays in the ProjectLibre file; (1 mark)  Enter all the activities in this project preserving the hierarchy of the WBS; (2 marks)  Make sure that the project title appears as the overall project summary at top of the activities list. It must appear as task 0 with WBS number 0; (1 mark)  Enter all milestones at the end of the task list; (1 mark)  Enter task durations assuming that ONLY ONE of each type of the required resource would be allocated to the task for now unless the task has a fixed duration. (2marks)  Add a “WBS Predecessors” column after the “Task Name”. (1 marks)  Enter all the predecessor information for each task and milestone. (1 mark)  Highlight the critical path. (1 mark)  Create a new Microsoft Word file, and name it “ABCU Project Report.docx”. This document will be referred to as “the Word document” in the following tasks.  In the Word document, report the critical path as shown in Task 1 at this stage. (1 mark)  Allocate the required resources to each task in the schedule. For Task 1, allocate only 100% of each resource to a task unless the task has a fixed duration. Please do not resolve resource over-allocation issues at this stage. (1 mark)  In the Word document, report the duration as well as the end date of this project as shown in Task 1 at this stage. Task 2 (10 marks)  Duplicate “Task 1” and name it “Task 2”. You should have two files saved: “Task 1” and “Task 2”. Complete Task 2 requirements in “Task 2”.  Allocate 300% of SD to activity 4.3 assuming that the total amount of work measured in “person-week” is unchanged. (1 mark)  In the Word document, report the duration as well as the end date of this project post the previous change. Report whether the additional resources allocated to activity 4.3 resulted in any changes in the duration of activity 4.3. Why or why not? Do the additional resources always result in a reduction of the activity to which the additional resources are allocated? Critically explain why or why not. (3 mark)  Resolve resource over-allocation issues (if any). For this project, do not “split tasks” and do not allow levelling to “adjust invidious assignments on a task”. (2 marks)  In the Word document, report in detail how you resolved resource over-allocation issues in ProjectLibre. Compare the duration and the end date prior and post resolving resource over- allocation issues. Critically explain why there has or has not been a change. (4 marks)  Save “Task 2”. PRO100_Assessment 2_Brief Page 3 of 6 Task 3 (20 marks) In a Word document, write a brief memo to the Pro Vice Chancellor of ABCU, informing him of the following information:  The completion date and the duration of this project. (1 mark)  The estimated direct labour costs for each resource. Present that information in a table. (3 marks) Resource Name Cost Requirement Engineer Business Analyst Software Architect Software Developer Software Tester Technical Document Writer Technical Support and Trainer  The major risks in this project. Present at least three threats (negative risks) and two opportunities (positive risks) in a table. (15 marks = each cell in the table worth 0.5 marks) Type Risk Description Owner Likelihood Impact Response type Treatment strategy Threat Threat Threat Opportunity Opportunity  Correct memo format (1 mark) Task 4 (15 marks) In the Word document, outline at least two strategies that can be used to reduce the duration of this project by two weeks, and the impact on project scope, cost and risk. The total word count should not exceed 400 words. However, you need to be specific about your strategy. For example, “reduce duration of activity 3.1” is not regarded as specific. Why would you choose that particular activity or activities among all the activities? How you would go about reducing the duration of that activity? Task 5 (20 marks) The enrolment officers and students are two important groups of stakeholders in this project. In the Word document, report the following:  What are the communication methods (pull or push) you would use to communicate to either of these two groups of stakeholders? (5 marks)  At the commencement of this project, does either of these two groups of stakeholders need to be notified of the commencement of this project? If so, draft an email for the Pro Vice Chancellor of ABCU to communicate that to the stakeholder. If not, justify why that PRO100_Assessment 2_Brief Page 4 of 6 stakeholder should not be notified. Your answer for this part should not exceed 150 words . (7 marks)  Upon ABCU accepting the end product (i.e. the online enrolment system), does either of these two groups of stakeholders need to be notified of the status of the project at this stage? If so, draft an email for the Pro Vice Chancellor of ABCU to communicate to that stakeholder. If not, justify why that stakeholder should not be notified. Your answer for this part should not exceed 150 words. (8 marks) Referencing It is essential that you use appropriate APA style for citing and referencing research. Task 1
Critical path is presented as follows (highlighted in red) –

Total Duration: 287 days
End Date: 09th August 2021
Task 2
Duration: 287 da
ys
End date: 09th August 2021
The additional resources added to the task 4.3 did not lead to any change in the duration as well as end date. Change in resources do not always necessarily lead to changes in duration. In this case as task 4.3 is not part of the critical path, the additional resources to this task while reducing the duration of this specific task did not lead to any changes in the project duration / end date.
There no resource overallocation issue as the duration has been allocated considering the resource availability at hand.
