PROPOSAL
This project proposal shows the need to introduce and include Accounting Information System (AIS) in companies like Local Garment Factory to provide a proper structure to the business activities like storing, managing and processing the financial data as it is required by most of the users of the organization like analysts, auditors, managers, CFO, tax agencies and also required to be published for public reference
Important for project managers to form a conformed team in order to properly implement, monitor and review the AIS system
AIS IMPLEMENTATION
Day to day activities like using thumb in impression for entry and exit of employees
ID proofs from employees
HR activities which include previous organization’s pay slips, pay roll data etc.
Proper IT systems to be included wherever possible
Security personnels to be parked near important and sensitive places to avoid data losses etc.
The project team must consist of Project Manager, a specialist, internal control auditor and coordinators to implement the system properly
AIS IMPLEMENTATION
Certain SLA agreements may be followed by companies to adhere to the client targets like Business continuity planning, disaster management planning, administration of security issues, data management etc.
The process of storing the data into new AIS system from old system may be done through automatic data transfer or manually
AIS MONITORING
Employees financial information, personal information, bank details of customers are essential data to be collected
Indicators to be selected related to business activities
Processing of information
Proper time management to meet SLA agreements
Targets achieved to be maintained in worksheets to understand the individual capacity of the employees
Data collected must be properly utilized and analyzed
PROBLEMS / DIFFICULTIES
INITIAL INSTALLATION DIFFICULTIES: Since data from old system needs to be transferred to a new system, the initial time taken to install the system is a tedious process and more time consuming as well.
TECHNICAL DIFFICULTIES: Accounting Information System is an advanced system which involves more technical aspects and employees who are not properly trained to use may end up creating errors.
PROBLEMS / DIFFICULTIES
MISMANAGEMENT: While transferring data from old sources to the new system, there may be mismanagement and loss of data. Thus, the data privacy issues occur to a large extent.
HIGHER COST MAY BE INVOLVED: Including a new AIS system may be cost consuming thus many companies generally does not prefer opting for it.
AIS REVIEW
The purpose of review is to take an in-depth analysis of the new system through the results obtained from regular monitoring. Regular as well mid-term reviews needs to be carried out by internal control auditors and supporting coordinators.
Also effectiveness and efficiency of the new system and the changes or results obtained for a longer period of time needs to be ascertained.
Key performance indicators needs to be ascertained to check if the established target has been achieved
AIS REVIEW-INDICATORS
Data collected must be in terms of financial transactions that can be used to improve turnover and profit
Stakeholders of the company are the users of the new information system, thus it is important to abide to standard accounting policies and concepts applicable
Security is a very important aspect as large financial data is involved in business activities thus employees must be honest and professional in handling data
Passwords needs to be set for extracting files and while sharing the data files with external partners and customers to avoid hacking
RECOMMENDATION
AIS data must be in the form of Structured Query Language (SQL), a commonly used language to store data in databases. The type of data contained in an AIS include: 
Billing statements
Sales analysis reports
Invoices
Purchase orders
Ledger
