MIS605_Assessment 1_Case Study Page 1 of 1 Online Student Enrolment System at ABC University ABC University (ABCU) is seeking to develop an online student enrolment system (the System) whereby the students would be able to enrol themselves into eligible subjects at the beginning of each trimester and pay their tuition fees online. You have been hired as the Business Analyst for this project. Founded in Sydney in 2013, ABCU has experienced a remarkable growth in student numbers in recent years and has opened new campuses in three other Australian cities including Melbourne, Brisbane and Adelaide. ABCU currently has 50,000 students across their four campuses with an estimated 5000 student in-take in each trimester. This phenomenal growth in their student numbers has necessitated the need for an online student enrolment system. Once developed, this system will replace the manual enrolment process that is currently in place. The current manual enrolment process is labour- intensive, error-prone, and rather inefficient as it requires the Student Enrolment Officers to manually enrol each student into the subjects upon the receipt of a study plan from the students. The Pro Vice Chancellor (Learning and Teaching) envisage an online student enrolment system which would allow students to complete their enrolments and tuition fee payments before the Census date. The System should not only enable Student Enrolment Officers of each School to create, edit and remove Courses offered by their School but also to create, edit and remove core subjects and electives offered in each course. The students should be able to access the system through a device of their choice (e.g. desktop web browser, mobile phone or tablet app). Most subjects would have pre-requisites that must be satisfied before the students are eligible to enrol in the subject. It would be the responsibility of the Program Directors to provide and update the relevant course and subject information including the descriptor, availability (i.e. whether a subject or a course is offered in a certain trimester) and the prerequisites. The Timetabling Officers may also create, edit and remove timetables for each available Subject through the new System. Each campus will hold multiple classes for the same subject. A Subject is offered in the form of classes. Each campus may offer multiple classes for the same Subject. Once logged into the System, students should be able to view all the available subjects, enrol in and drop subjects. The System will detect timetable clashes and prevent students from enrolling into subjects that clash. The System should not let students to enrol in too many or few subjects unless they have an increased or reduced study load approved by the Student Enrolment Officer. Once the enrolment has been completed the system will generate a timetable customised to each individual student outlining the class times and locations. The System will then prompt the students to pay their tuition fees through a secure payment process. The System should be able to send email reminders to students who have not completed the enrolment process by a designated deadline. It should also allow the Student Enrolment Officers and Program Directors to generate customized reports (e.g. a report showing a total number of students enrolled in a particular subject or a course). Stakeholders of the Project
Through the overall view of the presented case study, it is noticed t
hat within this project students are the major stakeholders. Within the online student enrolment system, the student of the University who are trying to take admission are the major stakeholders because all the activities that are associated with the online enrolment projects are performed for offering better services to the student (Yamamura, Martinez & Saenz, 2010). This process also tries to serve hassle-free payment method to the students in terms of paying money that are required for their admission in the ABC University.
The pro-vice-chancellor of the ABC University is the other stakeholder of this project. The pro-vice-chancellor of that University is responsible for all the activities that are performed concerning the learning and teaching process of the student. Therefore, the pro-vice-chancellor has the right to investigate all the actions that are taken to serve better services to the students in terms of the online student enrolment system (Yamamura, Martinez & Saenz, 2010). Envisage that the vice-chancellor of the ABC University is performing within the online enrolment system can help students to complete their enrolment and payment of tuition fees before the census date.
The timetabling officers are also playing the role of major stakeholders in the online student enrolment system. The timetabling officer can update the time table that are associated with the new system of the University. Through the clear understanding of the new time table students who are taking admission within the ABC University can be able to perform all their jobs that are required for their learning in the University.
Student manual enrolment officers are the other stakeholders within the project of online student enrolment system which is newly introduced within the enrolment system of the ABC University. The current labour manual process is one of the labour-intensive works and there is the presence of error-prone within the works that are performed by the enrolment officers. The presence of labour intensive and error-prone within the manual enrolment process is showing the requirement of involving online enrolment of students in the University.
Actors in the System
In the student online enrolment system of the ABC University students who are taking admission within the University campus are the main actors. The enrolment process that is introduced within the campus of the University is done for the betterment of student enrolment and in that case, there is a requirement of the involvement of students (Dee & Murphy, 2018). Without the student involvement in the acts of online enrolment cannot be performed with the successful format.
The timeline officers are the other actors in the project of online student enrolment system. The making of good and proper time table by the timetable officers can help students in the adoption of clear concept regarding the course and subject that are available for learning within the ABC University (Dee & Murphy, 2018). Therefore the time table officers can reduce and also can add timetable for each subject and that may help students in the selection of their desired subject.
Pro vice-chancellor of the ABC University is performing the role of important factors in the involvement and easy adoption of student online enrolment system. The pro-vice-chancellor through the envisage of the online enrolment process can allow students to pay the tuition fee and also allow to complete the enrolment process within the estimated date.
The business analyst is the other main actor within this project. The business analyst can serve the best ways that the University can gain through the adoption of student online enrolment system within their University campus.
