9A CIS2000 ASSIGNMENT 1 OVERALL ASSESSMENT WEIGHTING: 20% The assignment’s overall objective is that the students should acquire an overview of principles, methods and techniques of systems development, and gather experience from a development project in which a specific development method is used. On successful completion of this assignment students should be able to: • Define and explain the fundamental concepts methods and techniques used in information systems analysis and design. • Apply contemporary information systems analysis and design methods and techniques to a realistic case study. • Effectively communicate systems analysis and design methods and techniques to real world problems. Introduction and Background Mrs Toys and her husband Arnold took over the family business in Toowoomba in 2008. They operate a handmade, Australian, educational, heritage and designer toys business and have a loyal customer base across the Darling Downs, some of whom “mail order” toys, or order them over the phone, because they are in the country and they can’t get into town easily. Recently their business model has come under threat from online competitors who can manufacture toys cheaper and have better delivery models. Mrs Toys believes the success of her business lies in creating a better information system to create and deliver online orders. The current system involves a staff member Janice taking phone calls, entering the customer information (name address telephone number) in a spreadsheet, then finding the product in the shop and packaging it for delivery. The phone call triggers the order process. In terms of payment method, Janice takes the customer’s credit card details over the phone. In Mrs Toys’ own words, the end result of this process is “a happy customer with toys, and money in the bank!” During recent months, especially at peak times such as holidays, there have been a number of problems that have arisen with the ordering process. Some of these include: • Orders going missing – and the cost of remedying that, • Orders going to the wrong people • The paper catalogue being out of date • Less walk-in customers • Ordered toys not arriving on time at the customers address • Missing out on customers To help prevent these kinds of problems in the future, to look more professional to clients, and to streamline operations, the owners have decided to automate the ordering system, and possibly other aspects of the shop’s operation as well. Most CIS2000 SYSTEMS ANALYSIS & DESIGN ASSIGNMENT 1 2 of the staff are enthusiastic about the possibilities. Mrs Toys has decided to proceed. The shop staff include: Mrs Toys, A full time Sales assistant, Janice, a casual staff member who is still at school and comes in on Saturdays, Mrs Toy’s husband Arnold Toys who acts as a book keeper, coming in at the end of each month to record purchases, sales, receipts, and payments in ledgers. The shop also employs an accountant once a year to do the business activity statement (BAS). No member of the shop staff could be considered to be an information systems expert. Thus, Mrs Toys has decided to employ you to recommend a course of action Mrs Toys - Preliminary Investigation You believe that Mrs Toy’s business would gain the most benefit from automating the parts of the current manual system initially mentioned by management. In addition you consider that the shop could make better use of technology in some of their other day to day operations, for example customer profiling, or the use of standard accounting software. Following a meeting with management and staff, and after much discussion between the owners it has been decided to hire you to conduct a more detailed investigation. The deliverables of this investigation are on StudyDesk and at the end of this document Determining Requirements To determine their requirements in greater detail, you plan to conduct a number of interviews with Mrs Toys’ staff. You also intend to use other information gathering methods to confirm how the business currently operates and how it should operate in the future. Based on the information gathered, you will determine the processes that are required to be automated, the data that needs to be collected, stored and used, and the different reports that are required by the Toys’ business. Analysing Requirements Some background information to help with your analysis is as follows. The shop runs a normal retail operation. Orders are generally phoned in, and entered in a spreadsheet. One order can contain many items. Janice prints out a receipt for inclusion in the package to be sent out to the customer, and a copy of this is put in a tray for Arnold to enter in the ledger at the end of the month. Records of customers (and their orders) and suppliers (and their bills) are updated monthly by Arnold. The above analysis provides very limited information (which is typical in practice). You are required to undertake a more detailed analysis of issues that surround the order process system including additional thoughts of your own. For this assignment concentrate on the existing system and the problems it presents.
