Competency details BSBWHS507 Contribute to managing WHS information systems This unit describes the skills and knowledge required to contribute to managing work health and safety information systems (WHSIS) to support work health and safety (WHS) management. It focuses on systems for gathering, managing and communicating information necessary for WHS management. It applies to individuals who contribute to the management of a WHSIS. These people will work in a range of WHS roles across all industries and apply a substantial knowledge base and well-developed skills in a wide variety of WHS contexts. Note: The terms 'occupational health and safety' (OHS) and 'work health and safety' (WHS) are equivalent and generally either can be used in the workplace. In jurisdictions where the Model WHS Legislation has not been implemented, Registered Training Organisations are advised to contextualise the unit of competency by referring to the existing State/Territory OHS legislative requirements. Assessment outline All assessment tasks must be completed successfully to pass the unit. Assessment task Word limit 1: Auto-mark quiz N/A 2: Portfolio of Evidence – WHSIS 1,450 + Evidence requirement 3: Portfolio of Evidence – Evaluating and Reviewing the WHSIS 1,450 + Evidence requirement There are three assessments for this unit: 1. online quiz questions 2. develop a WHIS 3. provide evidence of evaluating and reviewing the WHSIS You are required to complete these assessments with reference to the Le Delbrock Hotel Case Study provided in ‘Additional Resources’ or based on your own workplace. Instructions Once you feel confident that you have covered the learning materials for this unit, you are ready to attempt this assessment. Write your assessment in a commonly used software program such as Microsoft Word, or you can download a Microsoft Word copy of this assessment from the relevant study period of your course in OpenSpace. To help Open Colleges manage your assessment, please use the following file-naming convention when you save your Microsoft Word document. Your submission for each assessment must be incorporated into one file. Please ensure that you keep a copy of all electronic and hard copy assessments you submit to Open Colleges. Assessment 2: WHSIS Assessment instruction Develop a WHSIS. You may choose to complete this task based on your own work environment or using the Le Delbrock Hotel Case Study that is available in the ‘Additional resources’ section of OpenSpace. Your WHSIS must include each of the parts specified below. Part A Prepare a list of the key duty holders of the organisation, their relevant responsibilities in regard to WHS and the information and data they need to fulfil these responsibilities Part B Outline the purpose of the WHSIS for your organisation Part C Conduct a telephone consultation with a relevant stakeholder to discuss their WHS information needs Part D Describe two factors that may impact on the design of your WHSIS Part E Create a WHSIS Part F Develop and use a hazard identification tool to gather WHS information and data Specifications Your WHSIS must include the following as a minimum: Part A – Duty holders Review topic 6.1.1 of your module and prepare a list of the key duty holders of the organisation, their relevant responsibilities in regard to WHS and the information and data they need to fulfil these responsibilities. This should include: · PCBUs · officers · workers. You may use the template below. If you are using the Case Study, look closely at the Le Delbrock WHS Policy Statement to help you find the information required. (300 words) Duty holder Legal requirements Information and Data needs Part B – Purpose Review topic 6.1.1 in your module and outline the purpose of the WHSIS for your selected organisation. If you are using the Case Study, you will need to carefully review the WHS Policy to help you identify how the WHSIS can assist in achieving Le Delbrock’s WHS commitments. (100 words) Part C – Stakeholder consultation Conduct a telephone consultation with a relevant stakeholder to discuss their WHS information needs. Evidence requirement: You must provide audio evidence of calling a stakeholder to discuss their WHS information needs. You may choose to do this in the workplace or in a simulated environment following the process below. Your meeting will be conducted as a 5-minute phone call scenario so you will be required to submit an audio of your meeting with the stakeholder. During your conservation, you must: · explain relevant WHS policies and procedures · ask the stakeholder about the type of WHS information or data they need to fulfil their policy and legislative obligations · seek feedback on the suitability of the information in regard to the stakeholder’s needs · gain feedback from the stakeholder to assist with monitoring, evaluating and improving the WHSIS. When you have finished recording, you will need to upload your file to OpenSpace. Additional information for using the Case Study You will be consulting with the Engineering Manager. Information for the person acting has the Engineering Manager is provided as Appendix 1: Briefing notes. Provide these notes to the person acting as the Engineering Manager so they have a clear understanding of the role play requirements. Part D – Factors impacting on WHSIS design Review topic 6.1.4 in the module and describe two factors that may impact on the design of your WHSIS. Briefly explain the impact of each factor. If you are using the Case Study, review the description of Le Delbrock to help you identify relevant factors. (150 words) Factor Impact on design Part E – WHSIS Review topic 6.2.1 in your module for more information. Create a WHSIS. This must be a digital system. You may use any file sharing, knowledge management, resource management or document management software system that you are familiar with. If you do not currently use one of these systems, use Dropbox to set up a file management system. Your system should include a structure of folders and sub-folders with relevant headings. Remember to include a folder for archived files. You need to submit: · a link (or invitation if using Dropbox) to the WHSIS you have set up so that your assessor can review it · instructions on how to use the WHSIS (this should include a hierarchy of the file structure). Develop a hazard identification tool (form) that can be used to gather WHS information and data. When you have developed your form, use it to conduct a hazard inspection of your workplace. If you are using the Case Study, you may use the form to conduct an inspection of an alternative physical environment (such as your current workplace, your home or a sporting club you are a member of). Make sure you note the name of the place on the checklist form. If you are using the Case Study, look closely at the Le Delbrock WHS Policy Statement to help you identify the information required. NOTES – for role play participant You are playing the role the Engineering Manager at the Le Delbrock Hotel. Le Delbrock is a newly-opened luxury hotel situated in the heart of the busy central business district operating 24/7. Le Delbrock, a family-owned establishment, offers deluxe five-star accommodation (250 rooms), a restaurant run by an award-winning chef, a stylish and sophisticated bar and state-of-the-art fitness and conference facilities. Le Delbrock targets the corporate market. You are responsible for supervising the operation, maintenance and repair of hotel equipment, tools, and facilities. You oversee the maintenance staff and may work in both an office setting and on the property, addressing issues. In addition to maintenance duties, you also work with contractors to coordinate renovations, remodelling projects and new construction. For this activity, the learner will discuss relevant WHS policies and procedures with you and ask you for information about the types of WHS information and data that you are required to maintain.
