Background
Concerned that they have been losing market share to Woolworths, Coles and Aldi, the IGA supermarket chain in Australia has decided to introduce a Loyalty Card program that will reward customers for shopping at IGA with discounts and will target each customer with weekly specials emails based on their buying patterns.
IGA has identified several software companies with appropriate Customer Relationship Management software systems that link data mining of the Point-of-Sale buying pattern data for customers using their loyalty cards to marketing push email functionality and Back-of-House product sales and discount campaigns planning and tracking functionality in IGA’s ERP and Accounting system.
IGA has also obtained Expressions of Interest from providers of Loyalty Card systems compatible with the CRM software systems.
IGA is planning a project to develop and implement the Loyalty Card Program.
You have been appointed to the “IGA Rewards” Project team to plan the whole program, from scoping the project through tender specifications for the major systems and the integration contractor to issuing and management of contracts, implementation, rollout and support of the implemented program. You are required to build the project plan covering the elements set out below (some terminology from PRINCE2 (PRojects In Controlled Environments) has been used):
1. Scoping the Project and Developing the Estimate and Board Submission
Draft the requirements
Identify and pre-qualify potential suppliers, contractors and key team resources
Invite indicative pricing from pre-qualified potential suppliers for key deliverables
Draft estimate
Draft Schedule
Conduct Risk Assessment
Finalise board submission including the Business Case
2. Project Approval and Initiation Stage
Board Approval and creation of Project Executive (PE), including representation of the Board (as Project Owner), the Business Users and the Project Director of the Rewards Project Team
Recruit, appoint and build Project Team
Prepare Project Initiation Document (PID) (alternatively known as Project Execution Plan). PID includes these elements:
o Quality Plan
o Risk Management Plan
o Basis of Project Schedule
o Basis of Project Cost Estimate
