In assessment 1, you researched the external and internal factors that would potentially present as risks for your organisation in the future and you developed a risk management plan for your organisation. In the risk register you analysed and evaluated risks to prevent them and outlined treatment actions to be implemented to reduce the level of impact if the risks occur. In your risk register for each risk, you allocated Responsible Officers within your organisation to manage the risks (Responsible Officers are also known as Stakeholders). Assessment 2 is the next step in the process for managing risks. From the risk register in the risk management plan, select the Responsible Officers (Stakeholders) that have been allocated risks to manage and communicate to them how they are to manage the risks they are responsible for. It is essential that the Responsible Officers or Stakeholder group understands what risks they are responsible for, they need to know how to manage the risks as per the risk register instructions, how to monitor them, treat them, communicate and record the risks via the required risk management process developed in the risk management plan. What you have to do For the organisation you selected in Assignment 1 in this unit, you are required to prepare a PowerPoint presentation about your Risk Management plan and communicate specifically to the Responsible Officers or Stakeholder group for managing risks from the risk register. Your presentation must be targeted to a specific Responsible Officer (or stakeholder group) that are responsible for managing risks from the risk register. Tips: If you are not experienced in creation of PowerPoint presentations, you may want to develop some skills in this area before commencing this assignment. One option is to search for some tips on the internet. This task must be completed in a word document. Task 2 Prepare a PowerPoint presentation of at least 12-18 slides to outline the main provisions of your Risk Management plan which is relevant and specific to the Responsible Officer or Stakeholder group. a) Present the organisations overall goals or objectives, purpose and key elements of current risk management process. b) Present the risk management policies and processes for the organisation. Communicate requirements for undertaking risk management in accordance with current risk management and the legislative standards c) Highlight the tools/techniques, processes/systems or forms within the organisation designed to identify and assess risks. d) Analyse and prioritise risks relevant to the group or responsible officer that they are responsible for managing. e) Outline the processes to monitor, evaluate and communicate the specific risks they are responsible for managing f) Communicate what treatment actions are required to be implemented to reduce the level of impact if the risk occurs for the risks they are responsible for managing g) For each risk to be managed by the Responsible Officer or stakeholder group outline What, How, Consequence, Prevention, Treatment and Next steps: h) Outline next steps for how the organisation will continue to manage risks in the future. They are usually used to accompany an oral presentation; they should enhance the oral presentation. You can incorporate audio and visual media. They are often used to share information with a large group, such as at a professional conference, classroom presentations, and meetings. It should be more like an outline of your presentation. There are three main elements to a PowerPoint presentation: text, images, and tables or graphs. • Text allows you to reinforce main points as well as key terms and concepts • Images illustrate or highlight main points • Tables and graphs present information in a way that is easy to understand and see. What should be included in the PowerPoint slides? The slides for a PowerPoint presentation should be more like an outline. Text is often listed rather than written in full sentences. The following are a few of the things that can be presented on a PowerPoint slide: • Graphs and/or tables • Definitions • Lists • Essential facts • Necessary images Note: As with any type of writing, consider your audience, purpose (persuasive, informative, etc.), and occasion (classroom presentation, professional conference, business meeting, etc.). Do: • Use minimum text • Choose a single background for the entire presentation • Use simple, clean fonts • Use a font size that can be seen from the back of the room • Write in bulleted format and use consistent phrase structure in lists • Provide essential information only. Use key words to guide the reader/listener through the presentation • Use direct, concise language. Don’t: • Clutter the slide with too much text or fancy graphics • Use complicated fonts • Add superfluous information • Put down every word you are going to say • Use images if they will distract • Use hard to read colour combinations, like black on blue.
