Riverina Agriculture and Lifestyle Show Background


Prior to the establishment of Globex, founding business B T & Sons Farming Equipment established the annual Riverina Agriculture and Lifestyle Show (RALS) in the year 2000. The RALS is a 3-day event held in November each year and showcases farmers, local business, agricultural equipment suppliers and lifestyle products. The management of the RALS requires the coordination of show stands, demonstrations, live displays, catering, and volunteers, and was originally undertaken by B T & Sons.


The RALS has grown significantly since its inception and is now managed by a community committee. Globex however is still committed to the RALS and has strong community engagement through the management and coordination of the volunteers required for the RALS to run smoothly.


All takings from the show gates are donated to charity Indigenous Community Volunteers (ICV), who are very active in the Riverina Region. ICV are invited by communities to help them achieve their own goals through their national network of skilled volunteers, who provide practical hands-on help where skills and resources are limited. The ICV also provides volunteers to assist with the RALS, giving back to the community they are working in.


In order to maximise gate takings and therefore donations to ICV, the RALS is heavily dependent on ticket sales.


Currently, tickets can only be purchased at the RALS gates, which causes significant delays, especially on opening day. It is also suspected that when crowds are large and the ticket


sales process is slow, people are slipping through the gates without paying to avoid a lengthy wait. The gates are currently manned by volunteers who simply observe that each person entering is carrying a valid ticket. When crowd numbers are large or during peak periods, it is difficult for volunteers to check all tickets.


To improve this process and maximise ticket sales, the RALS committee have made the decision to outsource the development of a ticketing system. As founders of the RALS and trusted committee members Globex has been asked to take the lead role in sourcing a suitable business to develop the ticketing system. As such, based on their long-standing relationship, Globex has contracted Virtucon to develop the requiresd system.


Project Description


The RALS committee have requested a computer-based ticketing system to replace their current manual system.


Currently tickets can only be purchased at the RALS gates which causes significant delays, especially on opening day. It is also suspected that when crowds are large and the ticket sales process is slow, people are slipping through the gates without paying to avoid a lengthy wait.


To improve this the RALS committee have recommended an online ticketing system be implemented. The system should enable patrons to access ticket sale from any online platform and mobile device so that tickets can be purchased before the event. Tickets need to be digitally enabled and can be scanned at the gate so that a range of reports can be generated by the system. As well as digital sales, tickets should also be available for purchase from a number of locations in the town and at the gates for those who do not have access to a computer or suitable device. It is expected however that the ability to purchase tickets prior to the event will significantly reduce the queues at the gates and ticket evasion.


The RALS committee have indicated that a number of ticket options should be made available

1. Introduction
The RALS is the event that is held for 3 days in November at the end of every year and it is for farmers, local business, various farming tools providers and to display lifestyle products. The top management of the RALS mainly needs the coordination of show stands, live shows, cooking, as well as volunteers, which was looked by B T and Sons. All the sales collection of tickets is donated to ICV. In order to enhance the donations, RALS is vigorously reliant on the sales of tickets. As of now, tickets that are acquired at the RALS gates, may be the reason of deferrals, especially on opening day. The volunteers keep a check on the customers who enters the gate with valid tickets. For making the process better or we can say to increase the sales of tickets, the management of RALS has taken the decision to re-appropriate the advancement process of issuing tickets. The organization wants to implement an online ticketing system in the organization so that customers can purchase tickets through internet by making online payments using credit card details. Being project manager, my job is to develop project charter by preparing wbs using project manager.
1.1. Project Objective
Main objective of developing online ticketing system is to develop an online system for selling shows’ tickets in order to manage the crowd more effectively. The framework should empower supporters to access ticket sales by using web interface or mobile applications with the goal that the customers will be able to purchase tickets before the start of the event. Tickets ought to be cautiously enabled and can be checked during their gate entry with the objective that reports will be automatically generated by the system. These automated sales of tickets should in like manner be available for purchase from different regions in the town and at the gates for the people who are unable to purchase the tickets online.
1.2. Project Scope
The main scope of the project is to develop an automated framework by which customers will be able to purchase online tickets either through mobile apps or through web using online payment modes. The system can keep a check on the number of tickets booked and number of customers who has attended the show. A bar code will be generated on each ticket and this code will be scanned at the time of entry.
2. Measurable Organizational Value (MoV)
For having better value for the organization, the project of developing online ticketing system should support the objective of Globex, mission just as objectives of the association. For having better process of IT project management, the primary goal and proportion of accomplishment is implied as the endeavor's measurable organizational value (MOV). (Marchewka, J., T., 2003).
2.1. Area of Impact
1. Customers - Customers are considered as stakeholders for are responsible for increased sales of Globex. The system will be developing by considering customers as the main area. They need to be satisfied only then a system can be successful. The main procedure of Globex is to work together with many more customers, ranchers, local business, rural tool suppliers just as things suppliers and present them with new developing system and diverse things so association can improve their business for volunteers to huge degree. (Ciric, Z. and Rakovic, L., 2010).
2. Strategy – The main requirements for the system is that it must fulfill all the organization's requirements. All stakeholder's necessities must be fulfilled in order to develop the system.
