This is assessment task three (3) of three (3) assessments that you must complete satisfactorily in order to be deemed competent for this unit. The purpose of the assessment is to give you the opportunity to demonstrate your knowledge and skills in reviewing computing needs and creating a plan to implement a cloud computing solution within a small business environment. Assessment Instructions What You are to read the scenario below and answer questions related to the scenario. From here you are required to create a business case for a XERO Cloud Accounting software solution for a small bookkeeping business (Easy Bookkeeping). This assessment consists of three (3) tasks; Task 1 – Company needs analysis You are required to write a report that outlines the current hardware and software in place, identifies the cloud computing options and solutions for the business and short and long-term goals to implementing cloud solutions. Task 2 – Cost benefit analysis You are required to complete a budget/cost analysis, create a business case (following the 9 steps you have learnt in this course) and prepare a plan to support the implementation of cloud accounting software. Task 3 – Present business plan You are required to present the business plan you created in Task 2 to the class, you will request feedback on your plan from your peers. In this presentation you will need to promote the key features of the plan along with an overview of the cost benefit analysis. Your presentation should run for 3-4 minute and you must seek feedback from your peers. Where You will be provided some class time to work on this assessment, however it is expected that majority of this assessment is to be completed outside of class. How You will be assessed against the criteria listed in the marking guide in Section B of this task. To achieve a satisfactory result, you will need to address all criteria satisfactorily. Conditions for assessment · This is an individual assessment task; however, you may be required to work with other students or your teacher during the scheduled class to discuss and interact with others to complete the assessment. · You will be required to present a business plan to the class. · You must submit all assessment evidence as instructed. · You must complete the task within the maximum allowed duration. · You are to make arrangements with the assessor at least one week prior to the assessment due date if you feel you require special allowance or allowable adjustment to this task. · You will have the opportunity to resubmit any product deemed unsatisfactory (one resubmit is allowed per unit). · If the product assessment is a group-based activity each student will be assessed individually against all assessment criteria. · You will be assessed as satisfactory or not satisfactory. · You can appeal the assessment decision according to the RMIT Assessment Processes. Easy Accounting has been providing bookkeeping related services to small businesses around the area, and the business is rapidly growing. Jane is using outdated accounting software. She keeps a copy of each resource on her computer’s hard drive and carefully files them, so they are easy to access. Jane distributes the resources to her colleagues when they need to be worked on or reviewed as email attachments, and they are passed onto each other in the same way when they need assistance. Jane has found this shuffling of resources to be time consuming and inefficient, especially when several people need to be working on the same client documents at the same time. She feels that they are safe on her hard drive, and she backs them up regularly. With her client base increasing over the last few months, it is getting unwieldly, and her partner has suggested that she hires another bookkeeper and consider implementing a cloud-based accounting solution software. the delay in execution and work efficiently, Cloud based solutions need to be implemented. Below are the main benefits of cloud solutions.
1. Cloud based solution enables multiple access to the information for employees to work and complete the allotted task, Jane can allocate the files in the common folder.
2. Xero cloud based accounting software enables to store large client data. When the business expands it becomes easy for Easy Book keeping to handle the data in cloud based platform and allocation of work.
3. Easy Bookkeeping can handle the work remotely with the cloud based solution and partners even if there are not in the office can handle the allocation, review and other team handling tasks.
