This assessment is to be completed in the simulated work environment in the RTO. Required · Access to textbooks and other learning materials · Computer with Microsoft Office and internet access · Organisational Requirements Report Template Assessment criteria For your performance to be deemed satisfactory in this assessment task, you must satisfactorily address all of the assessment criteria. If part of this task is not satisfactorily completed, you will be asked to complete further assessment to demonstrate competence. Assessment Task 2 Instructions Carefully read the following: For this assessment task you are required, in the role of Network Administrator, to plan for an enterprise communication solution. Your assessor will give you access to a relevant networked infrastructure that you will complete the assessment on. You must base the organisational requirements set out in this assessment task on the system that you have access to. Kings College is an RTO delivering a range of Diploma courses. The college has a number of trainers and assessors who teach a range of units, and each unit’s training and assessment requires specific written and supporting material. This has resulted in the accumulation of many quality resources that could (and should) be shared and collaborated with all the College’s tutors. Currently, there is no consistency or structure to the way in which the College’s employees work with documents and the College’s management has identified correcting this as a priority. Kings College would like to deploy a communication solution that will enable employees to store, share, access and organise information securely from any device. They would also like to create an email platform that can be accessed remotely by consultants. Complete the following activities: 1. Write an Organisational Requirements Report Using the network infrastructure that you have been given access to as a model for Kings College’s, source the following information: Number of users/computers Current server Operating system Network topology Connected devices Router, Switches, Gateways Configuration layout Firewall/Security Server names IP address information Current hard disk space and available storage currently used for mail System specifications such as CPU, Memory (RAM), Bandwidth consumption Internet server provider Supported client operating system Backup Any other relevant information. When you have sourced and understood the information, write down the assumptions that you have made about the College’s requirements. Use the Organisational Requirements Report Template to guide your work. Save your completed document as Organisational Requirements Report. 1. Write an Organisational Solutions Report Use the internet to research at least three options that could be implemented to meet the College’s organisational requirements, identified. The options that you identify must include the capacity for: An email system that can be used for remote access A content management system used for a web portal One collaboration tool for sharing resources. Your report should include at least one system that is free or is part of the RTO’s existing network so that you can demonstrate your ability to implement it. Evaluate and compare the options, selecting one solution that addresses the organisational requirements. Research where the College could acquire the solution and how it could be implemented. Save this document as Organisational Solutions Report 2. Send an email to the Director of Kings College (your assessor). The text of the email should be in grammatically correct English, written in an appropriate (polite, business-like) style. It should introduce and summarise the contents of the attachments and seek their feedback. The email text should also request the Director’s approval to purchase and install the option that you have selected and explain where and how it should be acquired. Attach your Organisational Requirements Report and Organisational Solutions Report to the email. 3. Develop an Implementation Plan Create a Gantt chart that lists all the activities and sub-tasks that will take place, along with the duration of tasks. Ensure that all activities are completed within the time-frame allocated. The tasks that should be carried out include the following: Preparation of existing network for an email system Configuration of mail servers Configuration of users, mailboxes, address lists, distribution lists, user constraints, remote email access, message integrity and antispam controls, antivirus controls and anti-phishing controls Planning for a Content Management System including: Planning namespace and server roles Configuring access, security, network infrastructure and customisations Implementation measures to provide high availability and data recovery Planning for one collaboration tool Planning namespace and server roles Configuring access, security, network infrastructure and customisations Implementation measures to provide high availability and data recovery You will be modifying your plan after a meeting with stakeholders, so save this version of the file as Draft Implementation Plan 4. Send an email to your assessor. The text of the email should be in grammatically correct English, written in an appropriate (polite, business-like) style. It should introduce and summarise the contents of the attachment and ask for a meeting with the Director of Kings College and any other relevant stakeholders to discuss it. Attach your Draft Implementation Plan to the email. 5. Meet with the CEO and other stakeholders (your assessor and several students). You should describe and discuss your Implementation Plan with the meeting attendees. The other students at the meeting will have already successfully submitted their plans, so they will be familiar with the area that yours covers. During the meeting you should seek ideas and advice from the CEO and the other stakeholders present. During the meeting, you are required to demonstrate effective communication skills including: Speaking clearly and concisely Using non-verbal communication to assist with understanding Asking questions to identify required information Responding to questions as required Using active listening techniques to confirm understanding 6. Update your Implementation Plan Revise your plan to reflect the feedback that you received at the meeting. Save this version of the file as Updated Implementation Plan. 7. Send an email to your assessor. The text of the email should be in grammatically correct English, written in an appropriate (polite, business-like) style. It should introduce and summarise the contents of the attachment and ask for their feedback and approval to implement the plan.
