Using Social Media in the workplace to communicate Background of the Issue In the golden words of William James, "The deepest principles in human nature is the craving to be appreciated". Employee recognition is fundamental aspect of employee's need at the workplace. Essentially, working psychological principle forms the core of effective management and secret recipe for any organization to thrive in future. In addition to the innate requirement of employee reward and recognition program in the organization in a much more effective manner, one also needs to comprehend the external market dynamics which is constantly evolving. There is intensive competition amongst the organization for talent and this war of talent can only be solved if employee feels valued in the organization they are working. Therefore, reward and recognition in much more effective and efficient manner has become much more important and crucial for success of any business. Today we live in the world of information, where everyone is connected online 24x7. Purpose of the Report By the virtue of this report, I have performed extensive analysis on digital communication strategy in an organization. Communication is the key for connecting with the employees and in this millennial workforce majority of employees are available online. Indeed, the marketplace as well as people have evolved and one can easily discern tremendous growth and penetration of technology. Hence, social media platforms and its applications are leveraged by the organization to create an atmosphere of employee reward and recognition as well as enhance employee experience in the organization. Topic of the Report This report provides detail analysis of how Social Media can be leverage in the workplace to communicate with the employees. Report begins with the background of the issue, topic selected for the report, organization and its background as well as what communication strategy that have been chosen to implement. Background of the Organization I have selected the organization - HCL Technologies that is a multinational IT and service company situated in Noida, India. Initially established exclusively as research and development firm has evolved into full-scale business grossing around USD $9.7 billion in revenue in FY2019-20. Today, this firm has transformed to a global brand that is recognized all across the world for its next-generation products and services that is established on innovation and design thinking. Organization has invested in training their employees to flourish on challenges. Culture of this organization promotes inventions and encourages taking risk with relentless focus on customers and relationship with them. This organization has grown stronger in four decades of its existence with its presence in more than 46 countries and around 1,50,000 total number of employees worldwide. Leveraging Social Media for effective communication at workplace As one can comprehend, this organization comprehends the fact that employees are their biggest assets. If they have a strong and intellectual employee base then the business will not only survive the test of the time but also thrive in future. Therefore, the HR of the organization holds a critical position in building a strong competitive advantage for the organization. HR collaborates with the training department to constantly upskill the employees and keep them updated with the present market trends. Communication Strategies Value Portal Communication Strategy used by HCL is to create an internal social media platform - Value Portal that can provide recognition to employees as well as associated partners for contributing above and beyond in the organization. The Value Portal was established by the HR department to separate HCL from others organizations by the virtue of online reward and recognition. The thought behind it was to evaluate the incentive from grassroots thoughts and catch them in an organized way. Clients could then acknowledge not simply the monetary to them of the whole venture yet in addition the thoughts and arrangements introduced inside the general undertaking. The Value Portal empowers and energizes development at grassroots level as it is the place HCL representatives work together, advance and lead the usage of their plans to convey an incentive to HCL's clients. MAD Jam Second communication strategy used is celebrating the contribution of employees at a massive scale. This strategy is branded as MAD Jam in the organization, which is a short form for Make a Difference in order to recognize and celebrate the best innovators in the business who have developed innovative solutions to current business problem. Every year, employees from all the departments and business units are asked to submit their innovative ideas that are screened by board members. After couple of processes of the selection, committee provides results for the best idea and solutions. Marketing team are involved to leverage all the social media platforms to recognize the winners and runner up all across the organization worldwide. Meme- Revolutionizing the workplace communication Third communication strategy is to create online social media platform that employees can leverage to post their stories, achievements, experiences, testimonials as well as interesting information. This enterprise social media is exclusive to HCL and can be accessed by employees in the organization, senior leaders as well as partners and vendors. This digitalization strategy using social media platform was called as Meme, that not only provided the opportunity for peers to appreciate and recognize work done by colleagues but also provided a feeling of being a celebrity to workforce. This internal social media platform fosters collaborative and competitive spirit in the employees. However, there are few risk associated with this internal social media platform. For instance, employee can post anything from his account on this platform. Therefore, this platform might become a ground for posing irrelevant questions that can trigger upheaval and chaos in the organization. Therefore, in order to properly stimulate the platform for effective reward and recognition, HCL had later appointed a content manager as well as an administrator, who used to monitor every post on the platform as well as regulate the content to develop a healthy recognition atmosphere in the organization.
