Choose one of these elements and explain why this is a particular strength for your bid in your selected destination. The interactive nature of the seminars fulfils most of the requirements by encouraging discussion, organisation and communication, and group discussion. Task 1: Key Elements of Successful Bidding
Five key elements of successful bidding are –
Understanding event size and value
Before bidding, having proper understanding of the event size and value is very important. According to Nicholson et al. (2015), it can be done using cost management software available in the market to get better cost estimates. Proper estimat
e of time and work force the event would require has to be calculated properly before bidding. Analysis needs to be done whether the organising committee with the estimated work force, equipment, staff and other resources can complete the event successfully within commenced time. In addition, financial capability of the organising committee needs to be ensured for completion of the project. Knowing your capability fully is better before placing a bid.
Know your Client
Proper information about the person and place has to be gained before bidding. Those people are the ones to go through the bid documents. Hence, if needed, added information has to be given in the bid documents according to the past events they have accepted in accordance to that information. As noted by Nixon (2015), a proper idea of the interests and likings has to be known before presenting the bid. In order to have a successful bid, proper analysis of the opposite party is required, about their past bids and the outcomes. Feedbacks are the best way to assess the loopholes in the bid and a better way for improvement of performance and achieving success in the bidding process.
Have knowledge about the bidding process
Once selected to present the bid, there are few formalities and reasons to be kept in mind. For example, a visit to the venue to find out the factors might create problem in the future for the event, risking in incompletion of it. Even proper discussions and meetings with the concerned people related to the event needs to be done to avoid future clashes and complications at the later stage of the event. Potential risks need to be assessed carefully and review of the bid documents plans and specifications of the event are needed to be done to avoid common risks of incomplete construction of documents, unknown conditions, exceed time limit and safety.
Be aware of the area and local regulations
A proper research is to be done about the local rules and regulations have to be done, and the issues that might arise during the event. As stated by Sotriadou and Bosscher (2013), any kind of cessation of the event due to political issues is not desirable by the organising committee. The bidder would reject the bid instantly for such mistakes. Hence, the location, duration, size and scope, competition, participants are to be assessed before any decision to be taken. Accordingly, the bid is to be presented keeping all the factors in mind.
Know your current workload
The current workload of the committee must be gave importance on before going for bidding for any event. According to Holmes et al. (2015), the committee would want to make sure that they have time to take up the event of that size and scope. Excess workload would result in decrease in management quality, which would further result in unsuccessful event. Thorough understanding of current work pressure would also give a better estimation of completion time required for taking preparations before organising any event for making it a success.
Among the above points, fifth point, that is, knowing the current workload is the strongest point in the bidding process for this event. The main reason is that this bid is for organising British Masters in Kingswood Golf & Country Club, Tadworth, UK in 2021. The club and the organising committee has enough time in their hand for making proper arrangements and setting the golf club as per the requirements, keeping in mind the no. of people that would be visiting the club as well as their stay and other facilities in the club maintaining a proper standard if the bid is accepted. In addition, for promoting and marketing about the club to make the event a grand success, the club would require time, which it is getting without any problem as this year as well as the next year; British Masters is going to be conducted in Hillside Golf Club, Southport, England by Betfred as per the contract they recently signed. This can be a turning point in the history of British Masters, hence a lot of preparations are needed to be taken as well as proper promotion and marketing is also needed to be done for outstanding the current venue, resulting in a more successful event in the history of British Masters.
Moreover, the 2 years would also give Kingswood Golf & Country Club time to renovate or expand their infrastructure and equipment if required for the event as well as for growth of the club. Along with the club, UK Golf Federation would also require time to go through the legal formalities and bidding process for the event to achieve the contract of British Masters from Betfred as soon as their contract period gets over.
Finally, proper arrangements for the guests, players and their families, officials are to be made by the Kingswood Golf & Country Club to have a flawless and successful event to leave a mark in the history of golf. More the time, better the arrangements are expected from the club starting from residence, hospitality to availability of various facilities and equipment for every possibility. As noted by Mallen and Adams (2013), all the uncertainties and issues can be analysed thoroughly to avoid any kind of problem or cessation of the event in between creating a negative impression of the club as well as the organising committee in front of all the guests and players including intellectual people present as chief guests of the event. Whole world would be looking forward for the event, if the marketing and promotion strategies work out properly. The last thing in such events that the organising committee would want is an embarrassing situation for them as well as the Kingswood Golf Club. Since this would be the biggest event this club would be organising, lot of management skills have to be shown where lack of experience should not be portrayed to the outsiders or else this opportunity would not last for long.
