Lillian is the owner of Lillian’s Auto Works, a vehicle servicing center based in Gqeberha. Lillian
requires a new computerized Vehicle Servicing Record System (VSRS) - with a website
component for private customers - to keep track of all customers and their vehicle’ service
information. Lillian’s Auto Works’ customers can be private customers or companies.
For private customers their id number must be submitted, whereas for companies their VAT
number is recorded. Each customer is allocated a unique customer number, and has a name,
address and telephone number. Each customer can own many cars. The registration number
of the car uniquely identifies it, and the make, model and model year of the car must be
recorded. A car is owned by only one customer. Customers bring their cars in for a service.
A car can be brought in many times to be serviced.
The system must keep information about Lillian’s employees. Details include employee
number, their name, address and cell phone number. Lillian currently have 7 mechanics and
3 service managers working for her. Mechanics are responsible for servicing cars and the
service managers handle all stock related tasks.
When a car is brought in for a service, the process of servicing a car is as follows. Each service
is allocated a unique service number; the date of the service is be recorded as well as any
comments if required. During the car service, several parts may be required. If a part is used
in a service, the part code used and the quantity must be recorded against that service. Parts
could of course be used in various other car services as well. All mechanics that worked on a
service must log the number of hours spent and the type of work done in a work log file. A
service must have at least one work log file else it cannot be submitted as complete.
The service managers are responsible for doing a regular stock take of parts and receiving
new units of different parts into the service centre. Each part has a unique part code, a
description, price and the quantity in stock.
