Standard layout guidelines allow the student to focus on the content of the text instead of layout issues. There are two layout alternatives for student writing. When you write a report or a lengthier plan, use the separate reporting guidelines for longer texts: report layout and citing sources. When you write a short plan, a memo, a summary, a media release or some other short written assignment, use the present guidelines. These guidelines apply to all degree programmes at Haaga-Helia. Layout This document follows the guidelines and can thus be used as a template. Written assignments are to follow the Finnish document standard SFS 2487. The layout should follow that of the present guidelines: · top margin 1 cm, bottom margin 1 cm · left margin 2 cm , right margin 1.5 cm · header location from top of page 1 cm · font for main heading and other headings Arial 11 pt, lower case. The main heading should be written in bold. · text font Arial 11 pt. · an empty line below the main heading · line spacing 1. Set tabs at 2.3 cm intervals. Start your headings from the left margin, and your text 4.6 cm from the left margin. Identifying information Write the main heading (assignment title), your name, and other relevant information in the header. Also record this information under File > Properties for the benefit of Internet search engines. Prepare the header in such a way that it is displayed on each page. Place three empty lines after the date so that the main heading and the text on the ensuing pages always start in the left margin, 4.3 cm from the top of the page. The header is to include the following information: · the author(s): first name before surname (authors placed in alphabetical order according to surname, one below the other[s]), with the first author placed right after the top margin, 2 cm from the left edge of the file · the document type, e.g. course assignment, summary or similar: starting with a capital letter followed by lower case, bold, right after the first author, immediately below the top margin, 9.2 cm from the left margin · the name of the university: Haaga-Helia University of Applied Sciences placed below the last author mentioned · the course code: below the name of the university · the date of completion: on the fourth row from the top margin, 9.2 cm from the left margin. Text Add an extra line after the main heading (title), before the text proper. Start your text 4.6 cm from the left margin. Do not justify your text in the right margin. Do not place your text in columns. Separate paragraphs with an empty line. Start a new paragraph whenever you start a new topic. Use typographical effects (e.g. italics and bold) sparsely so that they retain their effect. Do not underline your text. Headings Use headings and subheadings for the benefit of not just your readers but also for the benefit of those browsing through your assignment. The first subheading should be preceded by at least one text paragraph. Start your headings from the left margin. The maximum length of a heading is one line. Each heading must have text underneath it. Number the headings if numbering clarifies the whole. If a subheading is short (as is the case in this section), start your text on the same row as the subheading. If your subheading extends to where your text would begin, add an extra line below the subheading before starting your text. Structure and content The structure that you are to use in your written assignments will depend on the type of assignment. Nevertheless, regardless of the type of assignment, the structure must always be consistent. Always write your assignments using standard English, and always polish your text before submitting it. References Reference material is often used for written assignments. Referencing indicates the origin of the information to the reader. References also assist the reader in assessing the quality and reliability of the work. The most common types of sources are research studies, books, articles, interviews, the Internet, professional seminars, lectures, as well as reports produced by companies, associations or the public sector, and other documents and interviews. You are to indicate all the sources that you have used both in the body text and on the list of references, which is to be placed at the end of your text. Place the heading “References” at the end of your text and list your sources under this heading. Arrange your sources alphabetically according to the first word of each source. Do not provide separate sections for printed and non-printed sources. Attachments Your assignment may include attachments, material that you refer to in your text but that does not need to be present in the text as such. An attachment can be, for example, a questionnaire used for gathering information, the covering letter sent with such a questionnaire, a document, an agreement or a large table or figure. Remember that an attachment cannot stand on its own; it must always be referred to in your text. Attachments are placed at the end of your report, after the list of references, under the heading “Attachment” or “Attachments”. List your attachment(s) after this heading 4.6 cm from the left margin as follows: Attachment 1. Heading Attachment 2. Heading Each attachment should start on a new page.
