Case Study 1


Attached for your information is a Standard Operation Procedure (SOP) for manual handling. Named “The Six Steps of Lifting” this can be located with the National Training Dashboard under the banner of National Camper Trailers > Human Resources > WHS.


This is specifically a lift of a cardboard box weighing less than 10Kgs.


In your role as the Warehousing Manager at National Camper Trailers Pty Ltd. responsible for the Receival and Storage of materials and product, as well as despatch of completed products and accessories. The materials and products coming in from offsite manufacturers and suppliers.


Your Receival and Storage Team numbers ten employees and covers a diverse makeup of Male and Female, English speaking and English as a Second Language members.


The CEO has become aware of several Manual Handling class injuries among your staff. He has requested you to take some actions to ensure that we as a company are taking every effort to not hurt anyone entering our site.


From meetings to discuss this issue the first requirement we need is to create an SOP for Manual Handling of Cardboard Boxes 10 - 20Kgs, and Less than 10 Kg.


You must develop this report then up-load to your assessment. When developing this SOP take into account the following factors and account for each one in your SOP.

Your Manual Handling SOP has now been in place within the work units of National Camper Trailers for 6 months. The CEO has come to your department with the latest Safety Figures. These figures show that the occurrence of Manual Handling injuries have decreased by 75 % since the incorporation of the SOP.


He wants these figures to continue to reduce in both your unit and the other units it is now in force in, but he has concerns that things could increase again if we are not vigilant. He asks you to look at systems that we can incorporate in all our SOPs to ensure that they don’t just sit in books. You need to answer for him the following questions. You can utilise the internet to alleviate his concerns.

This assignment deals with the operational procedures of National camper Trailers, a transport and logistic company. The Standard Operating Procedures have been developed for the organisation so that the injuries to the employees at workplace can be minimised. In addition to that, the manner in which the process will be modified has been designed in the later part of the assignment. The organisation aims to provide a healthy and safe working environment to the employees through its various operation assessment policies. National Camper Trailers Pty Ltd. recognises the requirement for a safe working environment. They believe that a hazardous and unhealthy working environment potentially increases the risk of injury to the workers and the clients. A range of procedures needs to be developed to reduce the risk of injury to the workers.
Objectives
The objectives of the manual handling policy of the organisation are to:
· Ensure that the working environment is healthy and safe
· Reducing the cost of injuries due to manual handling of boxes to both the individual and the organisation
· Provide information to the employees regarding healthy and safe working procedures
· Identify the workplace factors that may increase the risk of handling injuries manually.
Scope
The policy is applicable to all the permanent as well as contractual workers involved in movement of products.

As per the Work Health and Safety Act, it is an obligation for the person involved in running the business to provide a healthy and safe working environment to the employees. According to the views of Fichtinger et al. (2015), the managers of the organisation take the necessary action to protect the employees. The employees of the organisation also need to ensure that they get an access to a safe and healthy work environment. They are also responsible for maintaining their health at the workplace. They should cooperate with the management to ensure that the injuries can be brought down to the minimum.
National Camper Trailers Pty Ltd. has framed and implemented a material handling policy with the organisation. The policy is aimed at reducing the number of steps involved in lifting a box and removing it. In addition to that, the so the aim of the policy is to develop an SOP for lifting the box so that the injuries to the employees can be reduced to the minimum. The policy is also aimed at reducing the manual handling of material that weigh more than 10 kg. The use of mechanical machines over physical labour is also promoted through the policy.
A number of actions need to be implemented to ensure that the policy is able to meet the demands of the situation. The actions include the following:
· Risk assessment of all the manual task that can be hazardous needs to be done
· Arranging ample equipment for lifting the boxes, whenever required
· Development of safe working procedures to ensure that the input per employee can be reduced whereas increasing the output per employee.
· Providing proper training to the staffs regarding manual handling of of items and ensuring healthy working environment.
· Encouraging the reporting of any incident at the workplace. As per the opinion of Del Fabbro and Santarossa (2016), it should be ensured that the reporting is done within specified time to balance the situation as per the demands of the situations.
· Investigating the incidents to identify the real problem and find corrective measures.

According to Del Fabbro and Santarossa (2016), a systematic operation procedure is one of the best possible process to complete a job with the given set of resources. In the current scenario, the systematic operation procedure has been developed and ensured that the new process does not lead to duplication of efforts. A thorough understanding of the current procedure was undertaken to ensure that the loopholes could be identified. The modification in the current procedures was made to match the new procedure with the systematic operation procedure. The modification of the procedure was made ensuring that there is no duplication of efforts.
b)
The major factors that had an impact on the development process were time, resources and resistance among the employees to accept the change. According to Kozai (2016), the process of movement of goods within the warehouse is a continuous process. There was shortage of time to train the employees about the new process. In addition to that, observing the old as well as new process and identifying the efforts that were duplicated was a major factor that had an impact on the development process. The SOP was tested on an employee for some time. This helped in identification of the loopholes that posed an issue for the old process. While incorporating the SOP, it was observed that there were a number of processes that were duplicated. Such processes were identified and sorted in the best possible manner.

While implementing a SOP, as per the viewpoint of Nyemba and Mbohwa (2017), it is always tested in a simulated or a real scenario to identify the shortfalls of the new process. In this scenario, the new procedure was tested on an employee for some time. The process was not implemented at once across the organisation to ensure that, the issues can be identified. The process was observed over the due course of time and was observed that there was a significant decrease in the number of injuries to an employee. The operational procedures were tested for more than a month to get the correct output. The employee was trained to follow the new procedure and a resistance to change was observed on the part of the employee. The employee was motivated to follow the procedure and the outputs were found to be positive. Thus, the trial testing of the procedure help in ensuring that the process can be implemented across the organisation.
d)
The Key Performance Indicators in the given scenario were time, injury and speed. In order to measure the effectiveness of the SOP, the given three KPIs were developed. The time required to perform the job was measured to ensure that the new process does not slow down the process. IN addition to that, the focus behind adoption of the SOP was health benefits of the employees. Therefore, the number of injuries was assumed to be an important indicator of the effectiveness of the procedures. According to the perspective of Bladon et al. (2015), the speed of the process is an effective indicator to measure the effectiveness of the SOP. An SOP ensures that a job is completed in the best and fastest manner possible. Therefore, the mentioned Key Performance Indicators were developed to measure the effectiveness of the process.

The plan to show the development, documentation and verification of the SOP is as follows:
· Identification of the loopholes of the existing system
· Developing a basic process to meet the issues
