9A CIS2000 ASSIGNMENT 2 (Report) OVERALL ASSESSMENT WEIGHTING: 20% The overall objective of assignments 1 and 2 combined, is that the students should acquire an overview of principles, methods and techniques of systems development, and gather experience from a development project in which a specific development method is used. On successful completion of this assignment students should be able to: 1. Apply contemporary information systems analysis and design methods and techniques to real-world case studies. 2. Apply systems analysis and design concepts, modelling and project management techniques to real-world case studies. 3. Effectively communicate ideas using tools and techniques of systems analysis and design. Introduction and Background Mrs Toys and her husband Arnold took over the family business in Toowoomba in 2008. They operate a handmade, Australian, educational, heritage and designer toys business and have a loyal customer base across the Darling Downs, some of whom “mail order” toys, or order them over the phone, because they are in the country and they can’t get into town easily. Recently their business model has come under threat from online competitors who can manufacture toys cheaper and have better delivery models. Mrs Toys believes the success of her business lies in creating a better information system to create and deliver online orders. The current system involves a staff member Janice taking phone calls, entering the customer information (name address telephone number) in a spreadsheet, then finding the product in the shop and packaging it for delivery. The phone call triggers the order process. In terms of payment method, Janice takes the customer’s credit card details over the phone. In Mrs Toys’ own words, the end result of this process is “a happy customer with toys, and money in the bank!” Now you have interviewed Mrs Toys and have established her requirements for the TO-BE system to address the problems of missing and incorrect orders, to put the catalogue online, improve the delivery process and provide The Toys’ with some reports that they think would be useful. Abstract
This report is regarding the new system which will be developed for the Mrs. Toys and her husband. Both of them run a family business at Toowoomba and sell toys. They deal in the handmade, Australian, educational, designer and heritage toys. They maintain a very st
rong and loyal relationship with their customers. The order is placed via phone call or mails. They have one staff member who receives the order on the phone call and the customer details are entered in the spreadsheet. Starting from the customer details to delivery of the toys the whole process takes place manually. But as everyone is in hurry it is difficult to work in this process. They came under threat by the competitors. Now the new plan is to use online portal for placing order and payment. This report contains the to be process for the company. It contains a business process diagram which shows the new system which will be implemented for better management of data and sell of the products. There is a comparison between the current and proposed system which will definitely help us to understand the benefits of new system. The new system is tested using all possible inputs and training needs to be provided to the employees to use this system. A report is shared with the top management regarding the changes need to be made in the system. Gantt chart is also used to find the estimated time to complete this system. The new system will be beneficial in making more profits in less time.

After saving the information, she checks for the availability of the product and its delivery date. This is then informed to the customer and his credit card details are taken over the call only for the payment. After making the payment the product is out for the delivery. But the order placing and payment making over the call is not convenient. It is very important that the customer provides their valid details.
